1. Scope

This Privacy Policy explains how Volare LLC (“Volare,” “we,” “us,” or “our”) collects, uses, stores, and shares information when authorized users access the Volare AI Dashboard (the “Application”). The Application is Volare's internal workspace for client relationships, booking workflows, calendar synchronization, and business operations.

2. Information We Process

We process account, CRM, operational, and technical information needed to provide the Application to authorized Volare users.

Google Calendar data

If an advisor chooses to connect Google Calendar, we process read-only Calendar data. This can include calendar identifiers, names, time-zone and access settings, plus supported booking event details such as event identifiers, titles, start and end times, attendee and organizer information, attendance status, and update timestamps.

The Application requests only read-only Google Calendar list and event permissions. It does not request permission to create, edit, or delete Google Calendar events.

We also process device, browser, session, and service-performance information necessary to secure, operate, troubleshoot, and improve the Application.

3. How We Use Information

  • Provide, secure, operate, and support the Application.
  • Manage client relationships, opportunities, activities, and related operational workflows.
  • Let an authorized advisor choose a Google Calendar and synchronize configured booking workflows into the CRM.
  • Identify configured meeting types and create or update related CRM records when a relevant booking event is synchronized.
  • Maintain connection health, prevent duplicate processing, investigate errors, and improve user-facing Application features.

Google Calendar data is used only to provide or improve these user-facing Calendar synchronization features. It is not used to serve advertising, determine creditworthiness, or train generalized AI or machine-learning models.

4. How We Share Information

We do not sell, rent, or trade personal information or Google Calendar data. We share information only with service providers that help us host, secure, maintain, or support the Application, and only as needed for those services. These providers are contractually or otherwise required to protect the information and may not use it for their own unrelated purposes. We may also disclose information when required by applicable law or a valid legal request.

5. Security

We use reasonable technical and organizational safeguards designed to protect information from unauthorized access, use, alteration, or disclosure. Google Calendar OAuth credentials are encrypted at rest, access is limited to authorized users and services, and the Application uses authenticated sessions and scoped access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

6. Retention, Disconnection, and Deletion

We retain information for as long as reasonably necessary to provide the Application, meet operational needs, comply with legal obligations, resolve disputes, and enforce agreements. An authorized advisor can disconnect Google Calendar from the Application's Calendar settings; disconnecting removes the stored connection and selected calendar. CRM records already created from relevant booking workflows are retained according to Volare's applicable business and legal retention requirements.

7. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page and revise the “Last updated” date when changes take effect.
